Heads up
This tool uses detailed tables and multi-column inputs designed for a laptop or desktop. You can still use it here, but some elements may be harder to navigate on a smaller screen.
SumUp stock tools
Upload every SumUp stock sheet for an area at once — the tool adds them up into one stock take, split by department and by food, drinks and consumables.
Too many sheets for this page to remember. Everything works as normal, but if you reload the page you’ll need to upload the sheets again. Create the PDF before you leave.
Example data only. These figures are made up to show how the tool works. Upload your SumUp stock report to see your own results.
Upload the stock reports you downloaded from SumUp (.xlsx), or drop them anywhere on the page. If the area was counted in several SumUp sellers, upload every one of those sheets — all at once or a few at a time — and they are added together into one stock take. Saved a stock take before? Upload that one file to open it again. To see how the tool works first, load the example from the tab.
Where to look first
Biggest ten categories — variance at cost
No category has a variance in this report.
Sign off this stock take once the counts are right in SumUp and the final report is uploaded here. Record who counted it, what was checked and why the stock is out, then create the PDF report. The PDF is the signed record of this stock take — save, print or share it however your venue keeps its records. The stock take file is saved at the same time, so it can be opened here again later.
Tick what you did before signing off. These appear on the PDF.
Your biggest shortages and surpluses. Every product needs a reason before the report can be created. Pick the one that says where the stock actually went — or, if you checked and still can’t explain it, “Investigated — cause not found”. The note asks for the detail that makes it useful. The list changes with the direction: missing stock and extra stock have different causes, so a short row and an over row are offered different reasons.
You’ll be asked to confirm the count is accurate before the report is created. Your name, role, department and the date go on the report.
Fills the page with a made-up stock take — 10 areas across a bar, restaurant, lounge and kitchen, with the sign-off already filled in — so you can see how every part of the tool works, or show someone else. It replaces whatever is on the page; use Clear page on the Outlet Summary to start again.
Upload your SumUp stock reports on the Outlet Summary tab. The sheets in the stock take and their category types will then be listed here.
Every sheet is added together into one stock take. Take one out with ×. To add more, use Upload SumUp reports on the Outlet Summary.
Each SumUp category is given a type (food, drinks, dispo or tobacco) from its name, and that drives the Show filter. Tick any that are wrong, choose the right type, and the report updates straight away. Your choices are remembered on this computer for next week — or download the list, fix it in Excel and upload it back.
Downloads one Excel file holding every sheet, its department, the category types and the sign-off. Upload that one file later to open this stock take again exactly as it is now.
The example can’t be saved — upload your own SumUp sheets to save a stock take.
Upload your SumUp stock reports on the Outlet Summary tab. The reports you can create from them will then be listed here.
Print-outs made from this stock take, branded like the sign-off report.
Everything on the Outlet Summary tab as a PDF: the headline figures, every department with its areas, each type of stock, wastage, the top shortages and surpluses, and the date each area was counted. Choose the departments, areas, stock and sections to include.
The Variance tab as a PDF, set up the way you want: by category or by product, £ or quantity, which areas, which products (shortages, surpluses, problems, a minimum variance) and the sort order.
A printable sheet for each area listing the products to recount, with a box to write the new count. You choose the areas and what’s worth recounting — by £ value, %, shortages or surpluses.
Finds products that need a category: ones SumUp has as Uncategorised, and ones whose category this tool can’t place as food, drinks, dispo or tobacco (type Other). Lists each with its SKU, SumUp category, the areas holding it and its stock — as a PDF, or Excel to work through in SumUp.
